How our digital task management works

Welcome to part 1 of our series “Paymira in Practice”. In our last article, we introduced what Paymira does differently. Today we keep our promise and go into detail: how we end the flying blind that so often comes with outsourcing, and why transparency brings back trust in payroll.
Do you know the ritual before the payroll run? You export changes, scan documents and email everything to your provider. You press “Send”. And then?
Then the long silence begins.
At that moment, your payroll becomes a one-way street. With no confirmation of whether and when the data is processed, many HR leads resort to a measure that is actually absurd: they keep shadow books. They maintain an internal Excel list just to check whether the provider has really done the tasks on the first list. Was Ms Müller’s bonus recorded? Has Mr Bieri’s leaving date really been registered?
The result is inefficient. You pay to be relieved of the work, yet you still carry the admin, because you have to manage your provider. You carry the responsibility, but you have given up the visibility.

This is where Paymira thinks ahead for you. When you enter the pay change, we check its effect on the pension fund in the background. Instead of you having to remember to notify the pension fund of the change, we start that process ourselves. We spot the gap and make sure the deductions stay correct.
The same principle runs through the whole platform. Whether it’s a simple change of address or a more complex case such as an accident or daily allowances, the logic stays the same. You decide what only you know, such as the pay rise. The platform breaks the case down into tasks, and our payroll team takes care of what follows from it in line with the law.
Ahead of time, not after the fact
Real relief comes when work is taken off your hands before you think of it. That is why the platform looks ahead. Do you have employees paid by the hour? Paymira creates a reminder task for you in good time before the payroll run, so you can enter the hours. You no longer miss a cut-off. Instead of reacting to mistakes, you are guided safely through the process.
Answering questions where they arise
The biggest risk in payroll is misunderstanding in tangled email threads (“RE: FW: Question about pay”). At Paymira, that conversation will soon happen where it belongs: right on the task.
Is something unclear? You can already see where every task stands in task management. Coming soon, questions get cleared up there too: if we’re missing a receipt for an expense claim, for example, our payroll team flags it on the task. You get a notification, upload the document right there, and the case is closed. The history and context stay in one place, open to view and easy to follow at any time.
